Section 4: Uploading Products
In this section, we will cover how to upload products into the [Platform Name] Warehouse Management System. You can upload individual products through the user interface or in bulk using a batch Excel spreadsheet. Both methods allow you to add essential details for managing and tracking inventory items.
Uploading Products​
You have two main options for uploading products:
- Interface Upload: Manually enter product details via the platform's user interface. This option is ideal for uploading a small number of items.
- Batch Upload with Excel Spreadsheet: For bulk uploads, use a pre-formatted Excel spreadsheet to enter product data. Once the spreadsheet is completed, it can be uploaded to the platform, which will process and add all items at once.
Required Information for Each Item​
To ensure smooth inventory management, each item must include specific data. Items in the system are referred to as logistic items, as they represent physical inventory.
Essential Fields​
- SKU: Unique identifier for each item.
- Barcode: Scannable barcode for tracking.
- Note: Any additional notes about the item.
- Condition: Specifies the state of the item:
- Brand New
- Like New
- Used
- Damaged
- Other
- Item Variant: Details for each variant of the item (e.g., color, size).
- Vendor: The vendor associated with this item.
- Dimensions:
- Length (cm)
- Width (cm)
- Height (cm)
- Weight:
- Item Weight (kg)
- Carton Weight (kg)
- Packing Layout:
- Units per Carton: Number of units packed in one carton.
- Units per Pallet: Number of cartons on a pallet.
- Units: Input dimensions in cm and weight in kg; the interface offers inline conversion options for other units if needed.
Optional Pricing Information​
- WAM (Walk Away Money): The amount that the service provider will pay if the item is sold or damaged by the provider.
- Price: Suggested listing price for customer sales.
- Commission Rate: The commission percentage taken on the item sale.
- Shipping Fee: Cost of shipping associated with the item.
- Credit Card Fee: Fee for processing credit card transactions.
- Amazon Price (if applicable): Amazon-specific listing price.
Platform Sync Settings​
- Platform List: List of platforms where the item is available (e.g., Shopify, Walmart, Amazon).
- External ID: ID associated with the item on each external platform.
- Sync Inventory: Toggle to control whether the item's inventory levels should sync with external platforms. This feature is useful when using order aggregators (e.g., Sellercloud, Goflow) to auto-import items and manage orders.
Variants and Products​
The platform organizes items by variants and products to allow flexible listing and grouping across sales channels.
Variants​
Variants contain all necessary information to identify and sell the item:
- MPN (Manufacturer Part Number): Identifies the item within the manufacturer’s catalog.
- UPC (Universal Product Code): Standard barcode for product identification.
- Images: Photos of the item for listings.
- Category: The product category (e.g., Electronics, Apparel).
- ASIN (Amazon Standard Identification Number): Unique identifier used on Amazon.
- Brand Name: Brand associated with the item.
- Additional Listing Information: Any other details required for listing on platforms like Walmart or BestBuy.
Products​
A product is a grouping of related variants. For example, if an item comes in multiple colors or sizes, each variation would be a unique variant with specific information. However, they would all share a common Product ID, which groups them under the same product family. This approach allows for centralized management and unified listings on platforms that support variant grouping, such as Shopify or Walmart.
When syncing to external sales channels, the system will use this product grouping to ensure that all variants are correctly associated and displayed under the same main product listing.
By understanding the details required for each item and how they are grouped as products and variants, you can ensure accurate inventory tracking and seamless integration with various sales platforms.
